Profile & access
Your profile describes you. Your access determines the work you can do in an organization. Keeping those two ideas clear helps when you need to update your details or find a missing page.
Your profile and your responsibilities
Section titled “Your profile and your responsibilities”Use My Profile for your personal details, photo and notification choices. Your employment information and roles are maintained on your staff record by someone with the appropriate access.
A role describes your job. It can contain permissions, each of which lets you view a record, change it or carry out a specific action. Being able to open a record does not always mean you can edit it.
Some permissions apply across the whole organization. Others apply only at the Sites where your role is assigned, either selected Sites or all Sites. A role can also put you on a Site’s team, which is about where you work rather than what you can open. Roles and access explains the full model.
Why two people may see different things
Section titled “Why two people may see different things”For example, an educator may work with children at Harbourview while a manager covers several locations. Their menus and available records can differ even though they belong to the same organization.
Staff directory visibility and children’s record visibility also differ: people with the View staff permission can see the organization-wide directory, while access to children and enrollments depends on the relevant sites. Understand what you can see and change explains these distinctions.
If something is missing, first check the organization you signed into and the page’s filters. Then ask your administrator to review your roles for the task and Site you need.
