Tuition rates and price guarantees

Tuition is the starting price of care. Set it on the program, then use an enrollment price guarantee when a particular child has been promised protection from later rate changes.

Find the program’s tuition

Open Organization Settings, choose Programs, and open the program. The Tuition section shows the current rates and any scheduled change.

Check the date range as well as the amount. A rate scheduled for October should not be treated as September’s rate.

Example: Cedar Lane charges $65 a day for children aged 0–29 months and $58 for children aged 30 months and over. Both rates increase by $2 on October 1.

One rate or different rates by age

A program can use the same rate across its age range or offer different rates for different ages. Each age band needs a clear beginning and end, so the child’s age matches one rate.

For cycle billing, AmalynCare uses the child’s age at the start of the cycle. A birthday partway through the month does not mean the month’s daily charges are automatically split between two age bands.

Age-based tuition is the full price before a fee reduction or subsidy. The amount a family pays may be lower.

A daily rate can be billed monthly

The rate’s unit tells you how care is priced: for example, per day. The site’s billing frequency tells you how often the program bills.

A $58 daily rate and a monthly billing cycle can therefore belong together. The bill uses the chargeable days in that month; it is not simply the daily rate multiplied by every calendar day.

Read billable days, holidays and closures before checking a monthly total.

Schedule a rate change

Use Schedule rate change in the program’s Tuition section. Enter the date the new rates take effect and the rates that will apply.

Before saving, compare the current and new amounts and check any fee policy attached to them. After saving, make sure the new schedule appears with the intended date. The current and scheduled cards let you see both sets of terms together.

Use a dated change to record a new agreement. Changing today’s tuition is not a way to correct a bill that has already been issued.

Protect an agreed price for a child

A program can offer an enrollment price guarantee. The child’s Billing & Funding section shows whether a guarantee has been agreed and when it ends.

The guarantee preserves the agreed set of age-based rates. A child can still move to another age band within that agreed set; the guarantee does not keep them in their original age band forever.

The guarantee must cover the cycle through its end to apply to that cycle. Pay particular attention to a guarantee that ends partway through a billing period.

Example: Amira has a guarantee through December 31, while her program has new rates scheduled for October.

For the child’s contact and funding details, continue to set up enrollment billing.
