Download a site-organized document bundle
A document bundle puts current effective documents into a ZIP organized by site. It is useful when you need a collection of current material instead of downloading files one at a time.
Open Documents.
Download the bundle
Section titled “Download the bundle”Choose Actions → Download document bundle and wait while the portal prepares it. Open the downloaded ZIP and start with the folder for the site you need.
Check the date and contents when you use a saved bundle later. It is a download of the available material at the time it was prepared; it does not update itself when records change.
Understand the folders
Section titled “Understand the folders”Each site has folders for its site documents, enrollments, providers and people on premises.
Enrollment folders also include documents for related children and guardians. Provider folders cover each Site’s Home Operator and the other members of its team, which the bundle lists as substitute providers. People with current premises associations are included in the people-on-premises area.
If a record is connected to more than one site, its documents can appear under each site. That is expected when the same material is relevant in several places.
If a file is missing
Section titled “If a file is missing”Find the file in Documents → Documents and check its associations, effective date, expiry date and archive state.
The bundle follows the site relationships described above. A file associated with the wrong person or site will not appear where you expect it, and material outside the current effective selection may be omitted.
Use the individual document’s Download action when you need that particular stored file. Find and maintain documents.
Share the appropriate material
Section titled “Share the appropriate material”Review the contents before sharing a bundle. It can contain child, family or staff documents, so send only the material needed by the intended recipient.
