Prepare information for an application
A little preparation makes an application easier to complete and review. Have the proposed care arrangement ready, then work through the child’s information with the family.
The proposed placement
Section titled “The proposed placement”Confirm the site, program, group, intended admission date and expected weekdays. If the care has a planned end date, have that ready too.
Check that the program and group already exist and that the proposed arrangement matches what you can offer. Set up programs and groups.
The child’s details
Section titled “The child’s details”Have the child’s first and last name, date of birth and address ready. Include a preferred name and languages spoken where useful.
The application may also ask about health, routines or other needs through your program’s template. Use information the family has provided and mark anything that still needs clarification.
Parents, emergency contacts and pickup people
Section titled “Parents, emergency contacts and pickup people”Gather names, relationships, email addresses and phone numbers. Identify the primary parent or guardian and confirm who should be contacted in an emergency and who may collect the child.
One person may have more than one role, but the roles still need to be recorded. Being a parent, being an emergency contact and being authorized for pickup are not interchangeable labels.
Include relevant address, living-arrangement and custody information where the form asks for it.
Consents and acknowledgements
Section titled “Consents and acknowledgements”Review the consent questions with the family. Record the actual answer and any relevant date or note. Do not treat an unanswered consent as permission.
The application checks required information before submission. Work through the messages shown if something is incomplete. A saved draft lets you return when the family supplies the missing information.
Billing and documents
Section titled “Billing and documents”Confirm who will receive bills and discuss any subsidy or tuition-guarantee arrangements with the person responsible for billing. Review the invoice schedule during approval, then review the first invoice once the Enrollment’s billing setup is complete.
Keep supporting files with the appropriate record using Documents. Application questions and documents requested for signature are separate parts of the process.
When the information is ready, continue with Manage applications.
